Summary 
Under the direct supervision of the Executive Assistant, the Office Assistant is a member of the agency’s administrative team and, as such, receives direction on occasion from the Executive Director and other Senior Management staff. 

Essential Duties & Responsibilities

Open and close the office each day Answer and route all incoming calls regarding donations, services referrals, volunteering opportunities, employment opportunities, etc. Greet and assist visitors Manage the Administration team Google calendar for appointments and meetings Mail packages using UPS, Fed-Ex, or USPS Maintain daily donation log Receive, sort, and distribute daily mail Keep the kitchen/staff break room clean and tidy Order office supplies and manage supply inventory Keep copier area stocked with paper and clean Monitor and maintain supplies of publicity literature and office forms Proofread written communication and documents Provide support to the Executive Assistant and Senior Management

Qualifications

High School diploma or GED and at least two years’ Administrative/Office experience Detail oriented with excellent time management, organizational, written, verbal, and computer skills, with exceptional phone etiquette Computer literacy, including knowledge of Microsoft Word, Outlook and Excel Knowledge of office management systems and procedures Demonstrated passion for the underserved in our community Bilingual English and Spanish preferred
