OfficeTeam is working on a one month temporary for a Biotech company. We are looking for a temporary Office Manager or Office Administrator to work on-site in our client’s Redwood City office. Candidates must be able to start ASAP (ideally Monday, January 25th) and this role will last approximately 4 weeks. Hours will be roughly Monday-Friday 8:30am-5pm with some possibility of overtime. Key duties will include supporting employees at all levels with administrative tasks, purchasing and restocking office and brea kroom supplies, coordinating the lunch program, and helping to enforce COVID safety policies for our on-site employees. At least 3 years of previous Office Management or Office Administration experience is required.
The ideal candidate will have a professional demeanor, excellent communication abilities, and exceptional organization and time management skills. This individual will be expected to interact with people at all levels in a fast-paced environment and at times under pressure, so the ability to handle complex projects both quickly and calmly is a must.
Responsibilities & Goals
• Office Management: Purchase and stock office and kitchen supplies, coordinate office repairs with building management, aid colleagues with shipping and receiving, and other office management responsibilities
• Reception: Greet company guests, answer and direct phone calls, receive mail and packages, and direct catering deliveries to the appropriate drop-off location
• Safety: Remind employees of COVID safety policies, show guests to the temperature check-in station, and place orders for protective equipment such as disposable masks
• Scheduling: Schedule and organize video interviews on behalf of hiring managers, ensuring clarity and professionalism through the interviewing process
• Other: Support the Sr. Manager HR & Administration and the Sr. Executive Assistance with special projects and provide general administrative support to all colleagues
Key requirements include
• High school diploma/GED required; Associate’s degree a plus
• 3+ years of related experience as an Office Manager or Office Administrator
• Proficient in using Microsoft Outlook, Excel, and Word
• Excellent communication skills, including the ability to compose professional emails in a timely manner and the ability remind others of pending tasks and deadlines
• The ability to work both independently and collaboratively in a fast-paced environment with tight deadlines while maintaining a calm and professional demeanor
• Highly organized with an exceptional attention to detail and strong problem-solving skills
Physical Demands & Working Conditions
• Able to lift up to 25 lbs
• Frequent standing and walking
• Be able to operate a computer & shipping equipment such as dollies
Requirements
- Ordering Office Supplies experience desired
- Command of Answering Inbound Calls
- Proficiency in Maintain Calendar
- Strong understanding of spreadsheets and word processing is preferred
- Capacity to operate basic office equipment, complete general office work and route incoming materials
- A passionate teammate who is willing to take on anything from small internal administrative tasks to high profile requests
- Complete tasks independently
- Demonstrated ability to manage, lead change, and build process improvements
- Ability to multitask effectively
