Step into an instrumental role. Help conduct the smooth operation of a fast-paced- and friendly- growing Financial Planning practice in San Diego! Work as an employee of an independent advisor franchisee with a Private Wealth Advisor practice of Ameriprise Financial. Assist in daily business operations.
We distinguish ourselves by providing comprehensive personal financial planning for our clients. We are seeking a full time Client Service Associate to assist two Financial Advisors in managing and organizing office workflow with an emphasis on creating and delivering a unique client experience which defines and differentiates the practice. This position will consistently follow high standards of business and professional ethics and legal practice. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities.
This position completes tasks which allow the advisors to focus more time and energy on client acquisition and deepening client relationships. The Client Service Associates supports the many different tasks for which the practice is responsible and ties directly to the overall business plan of the practice.
Position Functions:
Administrative/Business Management
• Onboard New Clients (set up Client Profiles, help them register on the Secure Site and send applicable forms for E-signature)
• Prepare and process new business
• Work with home office to ensure accurate account set up and resolve issues
• Provide insight and recommendations to effectively use key tools (MOD, Go Social, Advisor website, etc.) that help lead to results in practice
• Coordinate marketing events for the practice including managing office vendors
• Schedule client appointments and prepare agendas/Performance statements for appointments
• Conduct client appointment reminder calls and check-in calls on follow-up items
• Draft summary Emails as follow-up to client meetings and log action items into contact manager system (CRM)
• Answer questions and provide readily available information to clients (if requested and as allowable, as it relates to servicing their accounts)
• Provide insight and recommendations to effectively use key tools (MOD, Go Social, Advisor website, etc.) that help lead to results in practice
• Maintain electronic files and records in accordance with the records retention policy/Scan Checks
• Perform other allowable duties as assigned by the financial advisors
Client Care
• Greet clients upon arrival
• Document client contacts/calls
• Answer unsolicited calls from prospects to schedule appointments or refer to advisor
• Set up and maintain client management system (CRM)
• Call clients to set up appointment/ Contact clients for reminder calls and check-in calls on follow up items
• Review and respond to emails as necessary
• Write notes or letters to clients on personal letterhead of administrative nature and handle client appreciation
• Gather and collect Financial Planning Data from clients
• Conduct transaction requests/money movement as directed by Financial Advisors
• Track client special events and make appropriate contact per established client contact model
• Assist the Financial Advisors with client meeting preparation/research items
• Perform other allowable duties assigned by the Financial Advisors

Required Qualifications:
Experience, education and other designations:
+ College degree preferred
+ 2+ years of experience in financial services or other fast paced and highly compliant industries (insurance, mortgage, etc.)
+ Already have or be able to study for and pass exams for federal and state licenses and registrations for securities, including Series 7, Series 66, and State life, accident and health insurance licenses
+ Become a Notary Public
